DIRECTOR OF OPERATIONS

POSITION PURPOSE

The Director of Operations is an integral part of the First Unitarian Church staff team. This position will manage the administrative and financial matters of the church with a high degree of independence and fiscal responsibility. Oversee all church operations with attention to detail and the ability to interact with the Minister, staff, congregation, and vendors in a professional manner.

ESSENTIAL FUNCTIONS

General Administration and Reporting
• Oversee implementation of church policies and procedures
• Develop and maintain efficient office systems and procedures
• Participate in staff and Board meetings; prepare reports
• Assign tasks and deadlines to staff and volunteers to meet organizational goals
• Availability to meet with members, answer questions, and concerns, including some availability on Sundays

Financial Management
• Oversee finances of the church, including bank accounts, budget, cash flow, contracts and expense management of outgoing bills, invoices, and reimbursements
• Oversee and handle bookkeeping and accounts payable functions in a timely manner according to church policy
• Maintain pledge information, create reports, statements, and act as staff liaison for annual pledge campaign
• Manage compensation and payroll administration. Partner with the Finance Committee to ensure all salary and benefits adjustments are accurate and timely; partner with Human Resources to determine any salary increase guidelines.
• Maintain accounting policies and procedures to assure compliance with financial controls. Coordinate audits, as determined by the Board
• Maintain system for review of bank reconciliation, deposits, etc.
• Maintain appropriate insurances and file claims
• Lead development of the church’s annual budget in collaboration with the Treasurer, Finance Committee and Minister
• Assist the Treasurer and Finance Committee in execution of their duties along with preparing analyses of accounts, producing monthly reports, and reviewing capital requests
• Advise the board on a wide range of financial matters at a strategic level
• Support the church’s investment management

Human Resources Management
• Hire and involved in day-to-day supervision of custodian
• Maintain personnel, payroll, and PTO records for all staff
• Oversee benefits programs including pension and insurance plans
• Maintain, interpret, communicate, and recommend revisions in Employee Handbook
• Conduct or arrange for staff training, as needed
• Encourage and support staff growth
• Ensure compliance with state and local regulations regarding safety and security
• Work in conjunction with HR representative and Minister to oversee annual performance appraisal process

Facilities Management
• Develop and maintain amiable relationships with vendors and Avondale neighbors
• Provide excellent customer service to outside rentals through adaptability and strong work ethic to encourage repeat rentals and word-of-mouth references to prospective renters
• Oversee hiring, supervision and evaluation of facilities vendors and contractors (i.e., cleaning, snow removal, HVAC, etc.)
• Make purchases needed for administrative, program, and building maintenance purposes
• Oversee the marketing, rental, and proper use of church facilities, in collaboration with the Building and Grounds Committee
• Assign and monitor use of storage areas
• Develop and update a facilities maintenance plan

Systems Management
• Ensure the church’s computer platform is adequate, with backup and security.
• Oversee deployment of appropriate software applications for staff and volunteers.
• Act as principal liaison with technical support services
• Oversee ongoing maintenance and improvements to church website.
• Maintain church records with appropriate filing systems
• Oversee church archives

Other Responsibilities:
• Meet standards of confidentiality and comply with organizational policies and procedures
• Attend denominational professional development events
• Participate in local church business administrators’ group or a similar organization
• Attend Board, Executive Committee, HR, Finance, Buildings and Grounds Committee meetings

QUALIFICATIONS
• Ability to multitask, plan, organize and communicate priorities and needs with members and church staff while working efficiently to meet deadlines
• Detail-oriented
• Excellent verbal and written communication skills
• Skilled in office applications for computers, as well as accounting software
• Demonstrated ability to work collegially with others
• Understanding of anti-oppression, anti-racism and multiculturalism required; experience with diversity and inclusion work is a plus

EXPERIENCE AND OTHER REQUIREMENTS
• Minimum two years’ experience in finance, management and/or HR
• Minimum one-year supervisory experience (preferred)
•This is a professional position, requiring the ability and willingness to work flexible hours and extra time on an as-needed basis.
• This position may include work on weekends and attendance at daytime and evening meetings of relevant committees and teams.
• The successful candidate will complete required background checks
• Position is expected to work on-site at our church office.

EDUCATION
• Bachelor’s degree in business administration, accounting, finance, administrative management, or the equivalent.

The Office Administrator is an integral part of the First Unitarian Church staff team.  This position is often a visitor’s first contact with First Unitarian Church.  Under close to moderate supervision, the Office Administrator provides general clerical and administrative support to the Minister, staff, and congregation.

ESSENTIAL FUNCTIONS

External Communications
• Edit, publish, and distribute electronic and print newsletters.
• Update and maintain church physical and electronic bulletin boards.
• Provide professional interface with public seeking information in person, by phone or via email about First Unitarian Church of Cincinnati.
• Monitor selected external media for coverage of First Unitarian Church of Cincinnati and Unitarian Universalism.
• Develop, post and/or share social media content regarding First Unitarian Church of Cincinnati and Unitarian Universalism on Facebook, Instagram, Twitter, and other social media platforms.
• Update website with information provided by minister, staff and/or committees.

Internal Communications
• Coordinate bulk mailings.
• Coordinates production of church communications, working collaboratively with program staff and volunteers.

Office Administration
• Maintain Breeze church management software program by adding new member contacts, updating member and visitor contact information, scheduling building resources, printing and posting building use and event calendars are required.
• Sort and distribute mail; answer phones and respond to church email on a timely basis.
• Assist Director of Operations with ordering of supplies and scheduling equipment and maintenance services.

Program Support
• Participate in regular staff meetings and other staff functions.
• Coordinate volunteers as needed for church activities and events.
• Provide program support as needed or requested for worship, music, and lifespan faith development.
• Support Director of Operations with facilities rentals as needed or requested.

Other Responsibilities:
The Office Administrator is expected to meet standards of confidentiality and comply with organizational policies and procedures.

QUALIFICATIONS
• Knowledge of Microsoft Office suite (particularly strong knowledge of Word, Excel and PowerPoint), Google platforms, database management software, desktop publishing, social media (Facebook, Twitter, Instagram and Hootsuite or other posting programs), Zoom, MailChimp (or similar email newsletter services), graphics, website maintenance and/or the willingness and ability to learn new technologies. Experience with Breeze Church Management Software is a plus.
• Strong customer service skills and the patience to work with and, if necessary, train people at various levels of comfort with technology.
• Demonstrated ability to work collegially with others.
• Ability to multitask, prioritize and work efficiently to meet deadlines.
• Understanding of anti-oppression, anti-racism and multiculturalism required; experience with diversity and inclusion work is a plus.

EXPERIENCE
• Two years minimum administrative experience.
• Church administration experience a plus. EDUCATION High school degree required; at least two-year college degree desired COMPENSATION AND WORKING LOCATION Up to $17 per hour, 20 hours per week with no benefits. Position is expected to work on-site at our church office.
